Privacy Policy

The short version
- Swish Ledger is a basketball stat-tracking app for coaches and scorekeepers. Coaches enter their teams' rosters, schedules and game stats.
- We use that information to run the app. We don't sell it, we don't show ads, and we don't use advertising or analytics trackers.
- If a coach turns on a team's public view, anyone with the team's link can see its scores, and on Pro teams its rosters and stats too.
- Payments are handled by Stripe. We never see or store full card numbers.
- You can delete your account, and a parent or player can ask us to remove a player's information. See Deleting your account or a player's information.

Who we are
Swish Ledger ("Swish Ledger," "we," "us") runs the Swish Ledger website at swishledger.com and the Swish Ledger app. This policy explains what information we collect when you use them, how we use it, and the choices you have. It applies to coaches and team owners, scorekeepers, and fans who view a team's public page.
What we collect
| Information | Where it comes from | Why we need it |
|---|---|---|
| Account details: your name, email address and password (or your Google sign-in) | You, when you create an account | To sign you in, send account emails such as verification and password resets, and contact you about your account |
| Team information: team name, colors and logos, seasons, schedules, opponents, locations and notes added during games | The coach or scorekeepers | To provide the app |
| Player information: names, jersey numbers, and optionally position and grade, plus the stats recorded in games (shots and their court locations, rebounds, assists, fouls, minutes and so on) | The coach or scorekeepers. We don't collect it from players. | To keep score, build box scores, shot charts and season stats, and show them to the team and, if the coach chooses, to fans |
| Scorekeeper emails: the email addresses a coach adds so other people can help keep score | The team's owner | To give those people access to the team |
| Billing information: your Stripe customer ID, the plan and subscription status of each team, renewal dates, and whether you've used a free trial | Stripe and the app | To provide Pro features, manage subscriptions and prevent abuse of free trials. Your card details go directly to Stripe; we never receive full card numbers. |
| Technical information: IP address, browser and device type, and error logs | Your browser, automatically, through our hosting and database providers | To deliver the site, keep it secure and fix problems |
| Messages you send us | You | To answer you |
We don't collect precise location, contacts, photos (other than team logos you upload), or payment card numbers.
Players and young athletes
Swish Ledger is meant for adults: coaches, team staff and scorekeepers. It isn't directed to children, and you must be at least 18 to create an account. Many of the players whose names and stats appear in Swish Ledger are minors, so we take extra care with their information:
- Coaches enter player information, not players. We don't knowingly collect personal information directly from children under 13. If we learn that a child under 13 has created an account, we'll delete it.
- Coaches must have permission. By adding players, a coach confirms they're authorized to share those players' names and stats, for example by their school, league, or the players' parents or guardians.
- Keep it to what's needed. Swish Ledger only asks for what scorekeeping needs: a name and jersey number, with position and grade optional. For younger players we recommend using a first name and last initial. Notes added during games are visible to fans, so keep them about the game and leave out private details such as health information.
- Coaches choose who can see it. A team's public view can be turned off at any time, which makes its players' information visible only to the coach and scorekeepers.
- Parents and players can ask for removal. A parent, guardian, or player (or a former player) can ask the team's coach to remove or change their information, or email us at the address below. We'll work with the coach, or remove it ourselves if needed.
- No ads or profiling. We never use player information for advertising, marketing, or profiling, and we never sell it.
How we use information
- To provide Swish Ledger: keeping score, live game views, box scores, shot charts, season and career stats, share graphics and PDF reports.
- To manage accounts, team access, subscriptions, free trials and complimentary plans.
- To send service emails, such as email verification, password resets and billing receipts. Stripe sends billing emails on our behalf.
- To keep Swish Ledger secure, prevent fraud and abuse, and fix bugs.
- To answer your questions and requests.
- To meet legal obligations and enforce our Terms of Service.
We don't sell personal information, share it for targeted advertising, or use it to train AI models.
What's public
Each team has a public view setting, which the team's owner controls. When it's on, anyone with the team's link can see that team in Swish Ledger without signing in:
- All teams: the team's name, colors, schedule and opponents, game scoreboards (score, clock, fouls, timeouts and possession), the score by period, and post-game share graphics, which list each team's leaders by name.
- Pro teams (unless the coach limits fans to the live game and schedule): also the roster, play-by-play including notes added during games, box scores, shot charts, and season and career stats.
When public view is off, only the owner and the team's scorekeepers can see the team. Anything someone has already seen, downloaded, screenshotted or shared (for example a share graphic posted on social media) is outside our control.
Who we share it with
We share information only as described here:
- Service providers that run Swish Ledger for us, under contracts that limit what they can do with it:
- Google Firebase and Google Cloud: hosting, sign-in, database, server functions and secure storage of our payment keys.
- Stripe: payments, subscriptions, invoices and the billing portal. Stripe's use of your information is also covered by its own privacy policy at stripe.com/privacy.
- Google Fonts and Google's content network: the site's fonts and app code load from Google servers, which receive your IP address when they do.
- The public, for teams whose owner turned on public view, as described above.
- People on your team: scorekeepers can see the team's data, and the owner can see who the scorekeepers are.
- For legal reasons: if required by law or legal process, or to protect the rights, safety or property of our users, the public or Swish Ledger.
- If the business changes hands: if Swish Ledger is sold or merged, information may transfer to the new owner, who must keep honoring this policy, or tell you before it changes.
Cookies and storage on your device
Swish Ledger doesn't use advertising or analytics cookies. It does store a few things in your browser so the app works:
- Your sign-in session (Firebase Authentication).
- A copy of team data, so scoring keeps working when the gym's connection drops and syncs when it returns.
- Preferences such as light or dark mode, and demo-mode data if you try the demo.
Clearing your browser's site data removes these. You'll need to sign in again afterward.
How long we keep it
- Team, player and game information stays until the coach deletes it (a game, a season or the whole team) or deletes their account. Coaches can delete these at any time.
- Account details stay until you delete your account.
- Billing records: Stripe keeps payment and invoice records as the law requires. After you delete your account, we keep only your Stripe customer ID and a note of whether you used a free trial, to prevent trial abuse and answer billing questions. We delete these when they're no longer needed for those purposes.
- Technical logs kept by our providers are deleted automatically, generally within 30 to 400 days depending on the log type.
Deleting your account or a player's information
Delete your account in the app
- Sign in at swishledger.com and go to My teams.
- Under Account, tap Delete my account, then tap again to confirm.
This permanently deletes your sign-in and every team you own, with all of its seasons, schedules, games, stats and logos. Teams that other coaches own aren't affected; they can remove you as a scorekeeper. If a team you own has an active subscription, cancel it first with Manage billing on that team's Roster page. Its Pro features end at the end of the paid period.
Ask us to delete it
If you can't sign in, or you'd rather we do it, email support@swishledger.com from the address on your account with the subject "Delete my account." We'll confirm the request and complete it within 30 days.
Remove a player's information
Parents, guardians and players can ask the team's coach to remove or correct a player, or email support@swishledger.com with the team name and the player's name. We'll remove or anonymize the player within 30 days, and let the coach know.
Deleted data is removed from our live database right away. It may take up to 30 more days to clear from our providers' systems.
Security
All traffic to Swish Ledger is encrypted with HTTPS. Data is stored with Google Cloud, which encrypts it at rest. Database security rules limit each team's data to its owner and scorekeepers, except what the owner makes public. Payment keys are kept in Google Secret Manager, not in our code. Card details are entered on Stripe's secure checkout and never reach our servers. We limit who can access our systems and review our security practices regularly. No system is perfectly secure, so if we learn of a breach that affects your information, we'll notify you as the law requires.
Your privacy rights
Wherever you live, you can ask us to access, correct, delete or download a copy of your personal information, and we'll respond within 30 days (or sooner if your local law requires). Most of this you can do yourself in the app. Depending on where you live, for example California, Colorado, Virginia or other U.S. states with privacy laws, or the European Economic Area and the U.K., you may have additional rights, including to appeal our decision on a request or to complain to your local data protection authority. We don't sell personal information or use it for targeted advertising, so there's nothing to opt out of there. We won't treat you differently for using your privacy rights.
Swish Ledger is operated in the United States, and your information is stored and processed in the United States.
Changes and contact
If we change this policy, we'll update the date at the top. If a change is significant, we'll also tell account holders by email or in the app before it takes effect.
